Automation Department is responsible for developing and maintaining all
automation systems in university. Being established in September 2016, it
controls academic and administrative related systems in one place.
Department mission is MAKE DIGITAL SDU. Current subdivisions are
UNIPORT, DMS and Dashboard team.
Our Enterprise Software System is in use in 5 different countries (Azerbaijan, Romania, Kazakhstan, Kyrgyzstan and Nigeria). System consists of 7 main Desktop Applications with many sub modules inside and 2 Web Portals which provide all academic processes inside. All desktop applications and web portals use the same platform.

Document Management System (DMS) launched in SDU on 1 June, 2017.
Software was purchased from Bimser Company. Our system is used in huge companies like DHL, Renault, DeFacto, Ford, Koton, Zara, Nissan, 3M. System consists of the modules Workflow Module, Document /
Records Management Module, Capture Module and Dashboard Module.
Dashboard Module in DMS enables visualization and creation of analysis screens through data generated by the flows managed within the system through database queries and widgets. Dashboard creates visualizedreports based on a module in the DMS system. Currently, 14 dashboard reports in use. They are for HR, Academic, Accounting, Student Affairs departments. We are planning to use tableau and Power BI platforms to make attractive interface.
As a logined account, go to settings -> password -> Management password.
Note that Moodle, wifi, DMS, Office 365 use the same password. So changes in one, affect to another.

1. DMS system sends approval notification to your personal email.
2. At the Startup page please see the Approvals section or Approvals icon on the top menu with a counter.
3. Go to My processes -> Approvals section.
You can see the given delegation from Delegations and click the Name Surname of the person who delegates to you processes.
You can see Report of your processes from My Process Report, and you can export filtered data to Excel format.
You can see your processes from My Processes, and choose types, like Draft, History etc.
Click to the edit in Dashboard and add profile, then add boxes which you need and manage them.
Click to the start a process in the web site window.
Go to Reports -> My Process report -> Press “Filter” button.
Drafts are processes which have been started but not sent yet. Go to My processes -> Drafts. Remember the system cleans all drafts every Monday!
